1. Travel Policy

  • Sacred Space Therapy offers in-home appointments within a 20-mile radius of Ashburn, VA.

  • Appointments requested beyond this radius are subject to review and may incur an additional travel fee.

  • To ensure fairness and efficiency for all clients, the following cancellation policies are enforced:

3. 24-Hour Notice

  • A minimum of 24 hours notice is required to cancel or reschedule an appointment.

  • Cancellations made with less than 24 hours notice will be charged the full session fee

  • Exceptions may be made at the sole discretion of Sacred Space Therapy.

4. Intake Forms

  • All required intake forms must be completed at least 24 hours before the scheduled appointment.

  • Failure to complete forms within this timeframe may result in cancellation and the applicable cancellation fee.

5. Same-Day / Next-Day Appointments  

  • Sacred Space Therapy accepts limited same-day and next-day appointments while maintaining the integrity and flow of practice operations.

6. Advance Scheduling (Online): Clients may schedule appointments up to 24 hours in advance using the online booking system.


7. Same-Day Office Appointments

  • May be accommodated by request only and must be requested at least 12 hours before the desired start time.

    • Because the online system enforces a 24-hour lead time, clients must call or text to request a same-day office session.


8. In-Home Appointments (Short-Notice):

  1. Requests within 24 hours require direct approval via call or text and are subject to a 25% convenience fee to account for preparation, travel coordination, and schedule adjustments.

9. Deposits & Intake Forms

  • A valid credit card or deposit is required to hold same-day or next-day appointments.

  • Intake forms must be completed within 1 hour of receiving the confirmation email; failure to do so may result in cancellation in accordance with the Intake Form policy.

 10. Sexual Misconduct Policy

  • Massage therapy and bodywork services are strictly professional and therapeutic.

  • There is no sexual component to any service provided by Sacred Space Therapy.

  • Any sexual innuendo, inappropriate comment, gesture, or request will result in immediate termination of the session and permanent refusal of future services.

  • The full session fee will still be charged.

  • Sacred Space Therapy reserves the right to report misconduct to local authorities as appropriate.

  • Clients are expected to treat the therapist with respect and dignity and will receive the same in return.

11. Tardiness / Late Arrivals

  • Appointments are scheduled for specific times and cannot be extended beyond the allotted session.

  • Clients who arrive late may receive a shortened session to avoid delaying subsequent appointments.

  • If the client arrives too late for treatment to begin, the therapist will determine whether the session can proceed.

  • Regardless of the adjusted duration, the full session fee remains due.

  • Clients are encouraged to arrive at least 10 minutes before the scheduled start time.

12. Sickness Policy

  • Massage, energy, or bodywork services are not appropriate for contagious illnesses or infections.

  • Clients experiencing illness symptoms must cancel as soon as possible.

  • If canceled within the 24-hour window due to illness, the cancellation fee may be waived at the therapist's discretion.

13. Package Policy

  • To ensure consistent care and fair scheduling practices, all service packages and multi-session plans are subject to the following conditions:

    • Expiration: Packages must be used within six (6) months of the purchase date.

    • Transferability: Packages are non-transferable and may not be shared between clients.

    • Payment: Full payment is required at the time of purchase unless otherwise arranged through an approved payment plan or invoice.

    • Scheduling: Clients are responsible for scheduling package sessions before the expiration date. Unused sessions after the expiration period will be forfeited and are non-refundable.

    • Extensions: Extensions may be granted only for verified medical or emergency circumstances, at the sole discretion of Sacred Space Therapy.

14. Membership Policy

  • Sacred Space Therapy offers optional membership plans designed to support consistent self-care and ongoing wellness. By enrolling in a membership, clients agree to the following terms:

    • Cancellation: Memberships may be canceled at any time. To avoid the next scheduled billing, cancellations must be submitted at least five (5) business days prior to the next payment date.

    • Non-Transferability: Memberships and any associated session credits are non-transferable and may not be shared, gifted, or sold to another person.

    • Credit Expiration: Monthly membership credits expire at the end of each billing cycle and do not roll over to the following month.

    • Payment Authorization: By maintaining an active membership, the client authorizes Sacred Space Therapy to charge the designated payment method on file for the recurring membership fee until the membership is canceled.

    • Refunds: Membership fees are non-refundable once charged, regardless of whether the client books or uses sessions within that billing period.

    • Changes to Membership Terms: Sacred Space Therapy reserves the right to modify membership pricing or benefits with 30 days written notice to all active members.

 15. General Conduct 

  • Sacred Space Therapy reserves the right to refuse service to anyone whose behavior is deemed unsafe, disrespectful, or inappropriate.

  • By scheduling an appointment, clients acknowledge and agree to abide by all stated policies.
